How to invoice for freelance services?

As a freelancer you’ll likely need to complete a range of different types of tasks to deliver a client’s project.
To make sure you’re preparing a clean invoice for your client, you’ll want to split out different tasks line by
line. Using a freelance invoice template is a simple and professional way to create a freelance invoice which
looks great and can be easily understood.

Let’s say you’re a freelance content or copy writer, graphic designer or web developer: the chances are that
you’re involved in a whole series of different steps to create a final product for your customer. For example,
you’re hired to set up an e-commerce website on Shopify. The type of task would be Website development
on Shopify
, which can then be broken down into tasks like Setting up domain and hosting, customizing
website theme and layout
and managing products.

Make freelance invoices effortless by using our freelance invoice generator. You’ll be able to list out the services
you provide often, and save them so you can easily add them to future invoices when you work with clients again.

When is the right time to send a freelance invoice?

Whether you’re a graphic designer or a consultant, the best time to invoice will vary based on the type and duration of the project. Your client may also have their own preferences - such as receiving all invoices at the end of a month so they can batch process international payments.

What’s most important is getting advance agreement with your client, so you know when to bill, and you’re not left waiting for your payment unnecessarily.

Types of freelance projectBest time to invoice

Long term recurring contract

Invoice for payment every month

Small standalone project

Request the entire payment at the end of the work

Large standalone project

Ask for part of your bill upfront, and either invoice for the rest when you’re finished or add another part-payment when you are half-way through.

Freelance invoicing best practices.

When you’re invoicing clients as a freelancer it’s important to be prompt and professional. You’ll also want to
make sure it’s super easy for the client to contact you if they need to - and to pay. Here are a few freelance
invoicing best practices to consider:

  • Accept as many payment methods as possible. Use the Wise account to receive international transfers
    easily as domestic payments.

  • Check and double check to make sure you’ve entered and calculated all the details right before you hit send.

  • Use an invoice number to keep track of individual bills and payments.
Include multiple ways for your client to contact you, in case of a question.

  • Review your contract to make sure you’ve fulfilled all the terms, and that your invoice details match with
what you agreed with the client.

  • Use an invoice generator for freelancers, to make your invoice look professional and easy to read.

  • List any special costs or discounts, and taxes like VAT or sales tax, separately.

  • Keep a copy of every invoice for your records, so that you can track when payment is due.

  • Follow up on client payment. Send reminders when a payment is overdue.

What are the different types of invoices for freelancers?

As a freelancer you’ve probably seen a number of different invoice types. Here are some of the most common.

  1. Standard invoice - Requesting payment at the end of a project. It’s the most common type of invoice.

  2. Commercial invoice - A commercial invoice is usually used as part of the import process when bringing goods into the US from overseas.

  3. Pro-forma - The pro-forma invoice shows the estimate or quotation for work which hasn’t yet been completed — requesting payment in advance like managing an app development project. Also called a prepayment invoice.

  4. Timesheet - You might use a timesheet if you’re invoicing for hours worked rather than products bought or projects completed.

  5. Past due invoice or memo invoice - If a client is late in paying, issue a past due or memo invoice to remind them and add in any late fees to the total due.

  6. Recurring invoice - A recurring invoice may be sent every month, quarter or year for example, and reflects an ongoing agreement for work, or an arrangement such as a rental.

Which format to choose for your invoice?

  • Invoice templates in Word, Open Office and Google Docs. Templates in Microsoft Word and Google Docs are easy to customize — change colors, fonts, and add your own logo to send a well designed invoice. The smart, quick, and familiar option.

  • Invoice templates in Excel and Google Sheets.
Use formulas to calculate totals or taxes quickly on the Microsoft Excel invoice template. Choose Excel for a tailored invoice which cuts the the admin burden by doing the math for you.

  • Invoice templates as PDF.
You can easily edit your PDF invoice template and send it to your client as a compact file, in a matter of minutes. Perfect for keeping it from unwanted edits, especially with the ability to protect it with a password. A good choice if you want to reduce the file size of your invoice without sacrificing design or security.
